Invitation & Resolutions for AGM 11/1/2024🪧📅

Dear Class Representatives,

Dear Parents,

The Annual General Meeting has been convened on 11th January 2024 by means of a notice displayed in the school premises and at the registered office of the Association, setting forth the agenda. Therefore, I hereby have the pleasure to invite you – on behalf of the APEEE Board – to the Annual General Meeting 2023 (AGM) on Thursday night 11/1/2024 at 19:00 at the Room Alcide de Gasperi (S3), Charlemagne Building, Rue de la Loi 170 in 1000 Brussels.

I wish to remind you that participation in the Assembly, as full member of the Association, is one of our duties. We therefore hope for you to be present.

If you cannot attend the meeting, please give a proxy to another class representative or Board member, which you can do by filling out the following link: AGM 11/01/2024 – Proxie (microsoft.com) by Tuesday 9/1/2024 at 9 am at the latest.

Each class representative is entitled to have a maximum of 2 proxies in order to elect the Board members and to have a maximum of 3 proxies in order to vote on general matters or resolutions.

At the AGM you will be asked to vote for the election of the new Board members. I would like you to consider the possibility to stand up for this challenging experience, and at the same time to remind all parents in your class that any parent can stand up for election at the Board (to be eligible as a candidate, parents must have paid their APEEE membership fee and have their youngest child younger than 18 years old). We are looking for highly motivated and committed new members.

All parents, who have paid their contribution fee, can apply to become a member of the Board. All candidatures received before 19:00 on 10/1 will be included in the powerpoint presentation shown at the AGM. Parents can stand at the AGM without pre-registration. However, in this case the names will be simply added to the list of the candidates directly on the spot (not on the powerpoint).

You will also be asked to vote on the financial report with the 2022-2023 accounts, the 2023-2024 budget and the activity report 2023 which are published on the APEEE website.

Please note that no paper copies of the activity report or of the financial report will be available at the Annual General Meeting. All documents are available on the APEEE website.

You will also be asked to vote on the resolutions of the Board to the Annual General Meeting, which are attached to this invitation on article 14 and article 17 of the APEEE statutes, for which a quorum of 2/3 members present and/or represented are needed. Should you have any question on the above reports or resolution, or any resolution to be present, please be so kind to send them to our secretariat with reference to the relevant item number of the agenda before 8 January 2024. This is useful in order to be able to prepare well.

Thank you for sending the information on the AGM to the parents of your class. Please note that all parents are welcome to the meeting, but in the unlikely case of overcrowding,  the class representatives will have priority for seating and entry as voting members.

📢 European Summit 2024

As announced in the national media, the European Summit will take place on the 17th April and 18th April 2024, which could cause major disruption to the capital’s road network.

The disruption is expected to start at 07:00 and could affect the APEEE school transport service. Due to this situation, we anticipate the risk of delays and/or cancellations to the usual routes. The transport service will keep the concerned parents informed in real time.

We understand that this may cause inconvenience and would like to thank you in advance for your understanding and patience in this exceptional circumstance. We will do our best to minimise disruption.
